Assistant Moves Manager

Position Summary:

OVERVIEW
Responsible for planning and executing both large and small moves including but not limited to organizing team activities of move coordinators, vendors, supporting client requests and managing related furniture purchases.
 
ESSENTIAL FUNCTIONS
GENERAL

  • Work with Occupancy Planner to understand block plan and special requirements for group
  • Attend kick off meeting for introduction to customer representative, usually executive admin.
  • Responsible for the outcome of the move processes, customer satisfaction, move communication, and transparency and reconciliation of costs associated with all move-related activities
  • Ensure necessary Corporate Real Estate policies are followed and appropriate approvals obtained
  • Following project and incremental moves, update seat assignment for accurate data reports in OVSM
  • Work with Field Move & Space Coordinators to review CAD drawings to ensure accuracy, as needed
  • Be an effective "change agent" by reviewing current processes, policies, and practices and initiate discussion regarding the benefit of change
 
MOVE IN / MOVE OUT
  • Review layout and survey move in & move out locations.
  • Assess cubicle condition, order missing parts, ergo changes.
  • Schedule vendor for scrap pick up, recycle or reuse excess furniture, and remove chairs.
  • Provide move documents to move team, telecom, & IT.
  • Provide space drawing for origin and destination locations.
  • Provide move packet with matrix, drawings, and phone requirements documents.
  • Work with IT to ensure server connectivity & sufficient data drops for customer.
 
CUSTOMER REPRESENTATION
  • Update move matrix, fill in customer information, technical requirements.
  • Receive, compile and scrub move lists for potential issues
  • Review furniture layout, determine location for files and storage.
  • Review ergo requirements for each employee, make arrangements for ergo desks, as needed.
  • Deliver boxes, Move Labels, Post pin ups, & deliver move instructions.
  • Determine Mobile locations and prep furniture for drop in stations.
 
VENDOR SCHEDULE
  • Schedule all vendors for pre-move and move day activities.
  • Schedule disconnects and reconnects of computer, servers, printer, and phones.
  • Schedule movers and alert security, provide all names for badging.
  • Run pre move meeting and provide move schedule.
  • On site for all vendors and customer during move.
  • Review completed move and make adjustments with vendor.
  • Submit service tickets to have space cleaned, keys and chairs at desk.
  • Schedule and run Post move rooms and activities.
 
POST MOVE
  • Post move follow up with customer
  • Provide welcome documents, with information on new location and site services.
  • Provide punch list to vendors with open items.
  • Pick up crates and/or boxes.
  • Clear contents of origin location, clean up for next group move in.
  • Close out documents, billing, submit CAD and matrix to archive database for updates.
 
SMALL PROJECTS
  • Manage small projects as needed
  • Manage Furniture, Data, Electrical, and Paint Vendors
  • Responsible for communication to end users
  • Follow through with FM to ensure building wide email is issued
  • Notify Security of vendor access, timing, etc.
 
EDUCATION AND EXPERIENCE
  • An Associate's or Bachelor’s degree in Facilities, Property, Business, or related field desirable
  • Minimum 2 years’ of supervisory experience facilities or move-related field
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Proficiency in a range of information technology tools and platforms.
  • Strong analytical, organizational and presentation skills.
  • Excellent communication, organization and problem solving skills.
  • Knowledge of local occupational health and safety requirements, critical facilities and vendor management for specialized services is advantageous.
  • Ability to work independently with little supervision and effectively deal with stressful situations.
  • Self-motivated, confident, energetic, and flexible.
