Monitoring and overseeing event activities in leading up to event, to ensure compliance with brand guidelines, directives, building codes, local regulations (e.g. permitting) as well as ensuring all needs of participating parties are met (including but not limited to clients, hosts, vendors and business partners.
Serving as main point of contact to resolve all issues related to the event. Organizing meetings prior to event with event production staff, store teams, vendors and relevant internal departments to ensure smooth coordination and execution of event. Creating, circulating and communicating updates to event schedule/”time and action” to all staff. Conferring with staff post-event to discuss event successes and weaknesses in order to improve coordination of future events. Overseeing on-site execution and production of event, including
inspecting event facilities, venue set-up and breakdown to ensure adherence to event program, schedule and brand directives. Overseeing all services related to the events, such as locating appropriate venue, guest travel (e.g. airport transfers, local car service, accommodation, entertainment), guest gifting, catering, rentals, lighting, music, securing performers or hosts, security, valet, coat check, displays, special set-up, collateral printing (e.g. invitations, signage, menus, seat cards).
Collaborating and consulting with internal departments, such as store staff, retail and merchandising teams to determine each event objective and ensuring compliance and alignment with overall business and brand objectives. Liaising with store managers and external partners (e.g. charities, museums) to determine event format and program. Monitoring budget, negotiating service and vendor costs (against budget), as well as point person between accounts payable and vendors to facilitate timely invoice approval and payment. Sourcing event vendors based on brand guidelines, directives and specific event needs, negotiating service agreements, and booking and managing vendors related to these services. Events coordinated include in store and off-site
events, galas, and conferences.
Bachelor’s degree or foreign equivalent in business, commerce, public relations or related field and three (3) years post-baccalaureate, progressive experience as a Coordinator or Specialist in Marketing or Public Relations activities or related role in the luxury fashion retail industry.
Knowledge of marketing and communications principles and operations in the luxury fashion retail industry. Domestic and international travel, approximately 30% of the time.
